Dental Practices

A Security Leader for the Practice, So the Doctor Does Not Have to Be One.

Someone has to own the risk analysis, answer the insurer's questionnaire and tell the owners where the practice stands. A virtual CISO does that part time, with our team carrying out the plan. Capital Cyber, based in Leesburg, Virginia, provides Virtual CISO (vCISO) for dental practices and works on-site across Northern Virginia.

For practice owners, office managers and DSO leadership who carry security decisions with no security lead.

Who Owns Security in a Dental Practice Today?

Usually the doctor or the office manager, on top of everything else. The Security Rule requires a practice to identify a security official responsible for its security policies and procedures (45 CFR 164.308(a)(2)). A virtual CISO gives that person an experienced security professional to lean on: someone who builds the roadmap, writes the policies and reports risk in plain language.

How Does a vCISO Help With the HIPAA Risk Analysis?

The Security Rule requires an accurate and thorough assessment of the potential risks and vulnerabilities to the confidentiality, integrity and availability of electronic protected health information, and security measures that reduce them to a reasonable and appropriate level (45 CFR 164.308(a)(1)(ii)(A) and (B)). In a practice, that means walking through the chairside computers, imaging, the front desk, remote access and every vendor that touches the data.

A vCISO turns what that assessment finds into a Technology Roadmap and keeps it current. A formal HIPAA compliance engagement is delivered by our Compliance Division, Capital Cyber Compliance.

What Policies Does a Practice Need on Paper?

A cybersecurity policy and the procedures under it, kept in writing. The Security Rule requires policies and procedures to be documented, retained for 6 years from creation or last effective date, and reviewed and updated in response to environmental or operational changes (45 CFR 164.316). A new location, a new imaging system or a new practice management platform is exactly that kind of change.

Why Does a DSO Need Security Leadership Across Locations?

Because each acquired practice arrives with its own computers, its own habits and its own gaps. Without one person setting the standard, every office ends up with a different level of protection. A vCISO sets one security program for every location, tracks where each office stands against it, and reports to leadership, so growth does not add risk faster than anyone can see it.

Frequently Asked Questions

4 QUESTIONS
Can a vCISO do our HIPAA risk analysis?

A vCISO supports it and turns the findings into a roadmap. A formal HIPAA compliance engagement is delivered by our Compliance Division, Capital Cyber Compliance.

Who should be the HIPAA security official in a small practice?

The Security Rule requires the practice to identify a security official (45 CFR 164.308(a)(2)). That is often the owner or office manager; a vCISO gives them experienced support. Confirm the designation with your compliance advisor.

Does a vCISO make sense for a single-doctor practice?

It can. The time is scoped to what you need, from a regular cadence of meetings to deeper involvement during an incident or an insurer review.

How is a vCISO different from managed IT?

Managed IT runs the systems. A vCISO decides what the security program should be and checks that it is working. With us, both are the same company, so the plan and the people carrying it out stay aligned.
