Managed IT and Security for Health Clinics, Built Around the Patient Schedule.

We understand security and regulated businesses. A clinic runs on its EHR, its patient portal and e-prescribing, and every one of them holds electronic protected health information. We run the computers, accounts and security around them, and keep the HIPAA safeguards working between visits.

Primary care, urgent care, specialty, physical therapy and behavioral health clinics, from one location to several.

What a Health Clinic Needs From an MSP

What Happens When the EHR Goes Down?

The schedule stops moving. Providers cannot see histories, the front desk cannot check patients in, and prescriptions wait. Our help desk works the problem remotely first, separates a local fault (a workstation, the network, the internet line) from a problem on the EHR vendor's side, and works with the vendor's support when it is theirs.

The HIPAA Security Rule asks for this in advance: a contingency plan with an emergency mode operation plan, so critical work continues while systems are down (45 CFR 164.308(a)(7)).

What Does the HIPAA Security Rule Ask a Clinic to Do?

Protect electronic protected health information with administrative, physical and technical safeguards. That starts with a risk analysis: an accurate and thorough assessment of the risks to the confidentiality, integrity and availability of the ePHI the clinic holds (164.308(a)(1)(ii)(A)). It continues with access control, audit controls, authentication, backups and training.

We run the technical safeguards every day. The risk analysis, the policies and the documentation are formal compliance work, delivered by our Compliance Division, Capital Cyber Compliance.

The HIPAA Security Rule, Explained

How Do You Protect Shared Workstations in Exam Rooms and at the Front Desk?

With individual accounts and fast sign-in, not a shared login. The rule requires unique user identification for every person (164.312(a)(2)(i)) and lists automatic logoff as an addressable safeguard (164.312(a)(2)(iii)). We set up exam room and front desk computers so staff can move between rooms quickly and every action still traces to a person.

How Do You Stop Phishing Aimed at Clinic Staff?

Email is where most attacks start, and clinics get messages that look like payer notices, lab results and EHR sign-in pages. We layer multi-factor authentication, email and web filtering, anti-spoofing settings, staff training with phishing simulations, and monitoring that flags a suspicious sign-in.

What if Ransomware Reaches Patient Records?

Then two things matter at once: getting the clinic seeing patients again, and the Breach Notification Rule. A breach of unsecured protected health information must be reported to affected individuals without unreasonable delay and no later than 60 calendar days after discovery (164.404(b)). Whether an incident is a reportable breach is a determination to make with your counsel.

Monitoring around the clock, endpoint detection and response, and tested backups shorten both problems.

Do You Work With Dental Practices Too?

Yes. Dental practices have their own page, because their imaging and practice management systems differ from a medical clinic's.

5 SERVICES

Managed IT and Help Desk

Check-in, exam room charting, e-prescribing and the patient portal all run through computers someone has to keep working. We are that someone, at a fixed monthly cost.

Microsoft 365 and Email Security

Referral coordinators, billers and the front desk live in email, and so do the attacks aimed at them. We run your Microsoft 365 tenant and the layers around the inbox.

Managed Security Monitoring (MDR and SOC)

Attacks on a clinic tend to run when the lights are off. Our managed detection and response watches endpoints, accounts, cloud and network around the clock, and acts on what it sees.

Backup and Ransomware Recovery

The HIPAA Security Rule asks every clinic for a contingency plan: backups, a way to restore, and a way to keep working while systems are down. We build the technical half and prove it restores.

Virtual CISO (vCISO)

Somebody has to decide what the clinic's security program should be, keep track of every vendor that touches patient data and tell the owners where the risk is. A virtual CISO does that part time, with our team behind them.

Compliance

Formal HIPAA Engagements Start With Our Compliance Division.

We run the IT and the technical safeguards. The risk analysis, the policies and procedures, and the documentation the Security Rule asks a clinic to keep are delivered by our Compliance Division, Capital Cyber Compliance, so the documents describe the controls we actually run.

Frequently Asked Questions

5 QUESTIONS
Do you support our EHR?

We support the computers, accounts, network and security your EHR, patient portal and e-prescribing run on, and work with the EHR vendor's support when the problem is on their side. You choose the software; we keep what it runs on working and secure.

Will you sign a business associate agreement?

An IT provider that creates, receives, maintains or transmits ePHI for a clinic needs a written contract or other arrangement that meets 45 CFR 164.314(a), commonly called a business associate agreement. We discuss the BAA with you on the call, before any work starts.

Is the new HIPAA Security Rule in effect?

Not as of 2026-11-05. HHS published a proposed rule to strengthen the Security Rule in the Federal Register on 2025-01-06. It is a proposal, and the Security Rule text in force on eCFR was last amended in 2013. Confirm the current status with your counsel before relying on either.

Is this for behavioral health and physical therapy clinics too?

This page is written for primary care, urgent care, specialty, physical therapy and behavioral health clinics. Each clinic is scoped on its own systems and schedule, and support is remote first, with on-site work in Northern Virginia.

How is it priced?

As a fixed monthly cost scoped to your clinic, its locations and its devices. We give you the number on the call.
